Upgrading your hotel technology shouldn’t feel complicated. Whether you’re planning a full property refresh or replacing a few room phones, it helps to get clear answers upfront. At VTech Hospitality, we get many of the same questions from hoteliers, so we’ve put together this simple FAQ guide to make your life easier.
What is the minimum order quantity for free faceplates, programming, and shipping?
36 units of a single model is the magic number. When you order 36 or more of the same VTech phone, you automatically qualify for:
✅ Free custom faceplates
✅ Free programming
✅ Free ground shipping (within the continental U.S.)
This bundle is what we call our National Account Package.
Can you ship phones to Canada, Hawaii, and Alaska?
Absolutely. We ship worldwide. However, free ground shipping under the National Account Package applies only within the lower 48 U.S. states and goes as far as the freight forwarder. Shipping beyond that—to Canada, Hawaii, or Alaska is quoted case by case, based on your delivery location.
How hard is it to install SIP Phones?
Not hard at all. VTech SIP phones are designed with plug-and-play simplicity in mind. Connect to your network, register the phone with your PBX or cloud system, program as per your company specifications and you’re good to go.
Most hotels complete the installation on their own, but our support team is always ready to walk you through it if you need a hand.
What are the VTech product warranties? Is it 2 or 3 years?
Even better—it’s 5 years for VTech hospitality guest room analog phones and 2 years for SIP phones .
Our thermostats include a 3-year warranty, giving you peace of mind from installation to long-term performance.
Will your hotel phones work with my phone system?
Most likely, yes. Our SIP and analog models are compatible with the vast majority of PBX and hosted VoIP systems used in hospitality.
If you’d like us to double-check, just share your system details with your distributor and they will confirm compatibility before you order so there are no surprises.
Do your phones come ready to install?
Yes, every phone ships ready to be programmed and labeled according to your property’s specifications. Simply unbox, plug in, and go. No complex setup or configuration is needed — your phones arrive ready to serve your guests.
How do we get custom faceplates for our phones?
Easy, there are two ways:
✅ Orders of 36 or more
Faceplates are included free of cost. Just add a contact name, email, and phone number in the order notes. One of our Customization Coordinators will reach out to walk you through the design and approval process.
✅ Orders under 36
No problem. You can still order custom faceplates. They’ll just be added as a separate line item with cost, and we’ll still need your contact details to get them designed correctly.
Will your thermostats work with our PTAC models?
Yes. Our thermostats (including the T961 Universal Wired Thermostat and W960 Wireless Thermostat) are designed to support most PTAC, VTAC, Heat Pump, and Conventional HVAC systems.
